Rental Rules & Cancellation Policy

We want every guest to have a safe, relaxing, and enjoyable stay at Beaver Hills Retreat. Please review the following rental rules and policies before booking.

Occupancy & Additional Guests

  • Maximum Occupancy: The cabin accommodates a maximum of 4 guests.
  • The base rate includes 2 guests. An additional fee of $25 per person, per night applies for each guest beyond 2.
  • Only guests included on the original reservation are permitted on the property. Additional guests and visitors are not permitted.
  • The maximum occupancy of 4 guests must not be exceeded. The registered guest is responsible for anyone found on the property.

Check-In & Check-Out

  • Check-in: 5:00 p.m. – 8:00 p.m.
  • Check-out: 11:00 a.m.
  • The rental period begins at 5:00 p.m. on the check-in date and ends at 11:00 a.m. on the checkout date.
  • If you anticipate arriving after 8:00 p.m., please contact us in advance.
  • Government-issued photo identification (such as a driver’s licence or passport) is required at check-in.
  • Early check-in or late check-out is not permitted unless discussed and approved in advance.

Minimum Stay

  • 2-night minimum stay is required.
  • Longer minimum stays may apply during high season or for certain dates.

Parties, Events & Commercial Use

  • The property may not be used for parties, events, gatherings, or as a venue of any kind.
  • Use of the cabin as a bridal suite or preparation space for local wedding venues is strictly prohibited.
  • The premises may not be used for any illegal activity.

Smoking & Vaping

  • Smoking and vaping are not permitted inside the cabin or on the trails.
  • Smoking and vaping are permitted outdoors on the patio or around the fire pit only.

Pet Policy

We welcome one well-trained dog per stay, provided the dog is registered at the time of booking.

The following conditions apply:

  • Only one dog is permitted.
  • Dogs are not permitted on beds or in loft areas. Additional cleaning charges may apply if excessive pet hair is found in these areas.
  • Owners are responsible for picking up after their dog.
  • Dogs must not be left unattended on the property.
  • During birding season, dogs must be kept on a leash at all times.
  • non-refundable one-time pet fee of $100 applies.

Fire Pit & Fire Safety

  • Fire pit use is prohibited whenever a fire ban is issued by the County of Strathcona.
  • Fireworks are not permitted at any time.

Septic System

The cabin is equipped with a septic system. To help us maintain the system and prevent damage:

  • Please flush toilet paper only.
  • Do not flush wipes, feminine hygiene products, paper towels, or other materials.
  • Please do not pour grease or cooking oil down the sink.

Birding & Wildlife

Beaver Hills Retreat is home to a variety of wildlife and nesting birds. Please help us protect them by following these guidelines:

  • During birding season, please remain at least 30 feet (9 metres) from nest boxes and the water’s edge.
  • Do not photograph nesting birds.
  • Please respect all wildlife and nesting areas throughout the property.

Off-Road Vehicles

Off-road vehicles, including snowmobiles, dirt bikes, ATVs, and similar vehicles, are not permitted at Beaver Hills Retreat.

Security & Wildlife Cameras

For the safety and security of our guests and property, a Vosker security camera is located at the front entrance. The camera is positioned out of sight from the cabin and provides notifications when vehicles enter the property.

Spypoint trail camera is also located along the shared trail and is used to monitor wildlife.

Both cameras are active 24 hours a day, 7 days a week.

Cancellation Policy

The retreat must be paid in full at the time of booking to secure and hold your reservation.

If you need to cancel your reservation, the following refund policy applies:

  • 90% refund: Cancellation received 30 days or more before the check-in date.
  • 75% refund: Cancellation received 10–29 days before the check-in date.
  • No refund: Cancellation received fewer than 10 days before the check-in date.

No refunds will be provided for inclement weather or family emergencies when the cancellation occurs after the applicable cancellation deadline.

We strongly encourage all guests to purchase travel insurance to protect their reservation against unexpected circumstances.
