SHORT-TERM RENTAL AGREEMENT
This Short-Term Rental Agreement (the “Agreement”) is made between Beaver Hills Retreat (the “Homeowner”) and the individual identified as the Registered Guest, as of the date the Registered Guest acknowledges and accepts this Agreement.
For good and valuable consideration, the sufficiency of which is acknowledged, the parties agree to the following terms and conditions:
1. THE PROPERTY
Beaver Hills Retreat is located at:
54234 RR 205
Fort Saskatchewan, AB, Canada T8L 3Z1
2. RENTAL PARTY
The rental party shall consist of the Registered Guest and the following persons:
Maximum Occupancy
The maximum occupancy is 4 persons.
The rental rate is based on 2 guests. An additional charge of $25.00 per person, per night will apply for each guest beyond the first 2 guests, up to the maximum occupancy of 4 persons.
Term of the Rental
Check-in begins at 5:00 p.m. on the Check-in Date and check-out is at 11:00 a.m. on the Check-out Date.
Minimum Stay
A 2-night minimum stay is required. Longer minimum stays may apply during high season or special periods.
Rental Rules
The Registered Guest agrees to comply with all Rental Rules set out in Exhibit A at all times while at the property. The Registered Guest is also responsible for ensuring that all members of the rental party and any other persons permitted onto the property comply with these rules.
Access to the Property
The Registered Guest agrees to allow the Homeowner reasonable access to the property for purposes of inspection, maintenance, repairs, or other necessary property-related matters. The Homeowner will exercise this right of access in a reasonable manner and, where practical, provide advance notice.
3. RENTAL RATE, PAYMENT & FEES
The Retreat must be paid in full in order to hold and confirm a reservation.
Payment Methods
Acceptable payment methods are:
- Debit Card
- Credit Card
Damages, Missing Items & Excessive Cleaning
The Registered Guest authorizes the Homeowner to charge the credit card on file for reasonable costs arising from the Registered Guest’s stay, including:
- Damage to the property or furnishings
- Missing items
- Excessive dirt, mess, or cleaning required beyond normal turnover
- Damage caused by members of the rental party or their visitors
- Any other reasonable costs incurred by the Homeowner as a result of the Registered Guest’s stay or violation of this Agreement
If the premises appear dirty, damaged, or otherwise not in the condition reasonably expected upon check-in, the Registered Guest must notify the Homeowner immediately upon arrival.
4. CANCELLATION & REFUND POLICY
The following refund policy applies to cancellations made by the Registered Guest:
- 90% refund if the reservation is cancelled 30 days or more before the Check-in Date
- 75% refund if the reservation is cancelled 10–29 days before the Check-in Date
- No refund will be provided for cancellations made less than 10 days before the Check-in Date
No refunds will be provided for inclement weather or family emergencies when the cancellation occurs after the applicable cancellation deadline.
Guests are strongly encouraged to purchase travel insurance to protect against unforeseen circumstances, including illness, emergencies, travel interruptions, and adverse weather.
EXHIBIT A
RENTAL RULES
The following rules apply to all Registered Guests, members of the rental party, and anyone else permitted onto the property by the Registered Guest.
1. Check-In
Check-in is between 5:00 p.m. and 8:00 p.m.
If you plan to arrive after 8:00 p.m., please notify the Homeowner in advance.
The Registered Guest is required to present government-issued photo identification (such as a driver’s licence or passport) upon arrival.
2. Guests & Visitors
No additional guests or visitors are permitted on the premises other than those identified as part of the original booking.
The Registered Guest is responsible for anyone they permit onto the property.
The maximum occupancy limit may not be exceeded under any circumstances.
3. Events & Venue Use
The property may not be used for events, parties, gatherings, or as a venue of any kind.
This includes, but is not limited to, using the cabin as a bridal suite or preparation location in connection with local wedding venues.
4. Third-Party Bookings
Third-party bookings are not permitted.
The Registered Guest who made the reservation must be present at check-in.
5. Smoking & Vaping
Smoking and vaping are strictly prohibited inside the cabin and on the trails.
Smoking and vaping are permitted outdoors on the patio or around the fire pit only.
6. Dogs & Pets
Beaver Hills Retreat welcomes one well-trained dog per stay, provided the dog is registered at the time of booking.
The following conditions apply:
- Dogs are not permitted on beds or in loft areas.
- Excessive pet hair found on beds, furniture, or in loft areas may result in additional cleaning charges.
- Owners must clean up after their dogs.
- Dogs may not be left unattended on the property.
- During birding season, dogs must be kept on a leash at all times.
- A non-refundable one-time pet fee of $100.00 applies.
7. Fire Pit & Fire Bans
Fire-pit use is strictly prohibited during any fire ban issued by the County of Strathcona.
Guests are responsible for complying with all applicable fire restrictions and bans.
8. Septic System
The cabin operates on a septic system. While the system is effective, it can become clogged if improper materials are flushed.
Only toilet paper may be flushed down the toilets.
Do not flush feminine hygiene products, wipes, paper towels, or any other materials.
If improper materials are flushed and result in damage, blockage, or a septic-system service call, the Registered Guest may be responsible for the associated costs.
Please also do not pour grease or cooking oil down the sink.
9. Fireworks & Drones
Fireworks and drones are not permitted on the property at any time.
10. Illegal Activity
The premises may not be used for any illegal activity.
11. Check-In & Check-Out Times
Check-in and check-out times must be observed.
No exceptions will be made unless discussed with and approved by the Homeowner in advance.
12. Care of Property
Guests must keep the property, furnishings, fixtures, appliances, and equipment in good condition and order.
Guests are responsible for any damage caused by their negligence, misuse, or failure to follow the Rental Rules.
13. Appliances
Appliances and equipment must only be used for their intended purposes and in accordance with any instructions provided.
14. Birding & Wildlife
During birding season, guests must remain a minimum of 30 feet from nest boxes and the water’s edge.
Guests must not disturb wildlife or nesting birds.
15. Photography of Nesting Birds
Do not photograph nesting birds.
16. Off-Road Vehicles
Off-road vehicles, including snowmobiles, dirt bikes, ATVs, and similar vehicles, are prohibited on the Beaver Hills Retreat property.
17. SECURITY & WILDLIFE CAMERAS
For the protection and safety of our guests and property, Beaver Hills Retreat uses exterior cameras as follows:
- A Vosker security camera is located at the front entrance of the property. The camera provides notifications when vehicles enter the property and is positioned out of sight from the cabin.
- A Spypoint trail camera is located along the shared trail and is used to monitor wildlife activity.
These cameras are outdoor cameras only and are active 24 hours a day, 7 days a week.
By acknowledging this Agreement, the Registered Guest acknowledges and accepts the presence and operation of these exterior security and wildlife-monitoring cameras.
18. ACKNOWLEDGEMENT & ACCEPTANCE
By confirming the reservation and/or otherwise acknowledging this Agreement, the Registered Guest confirms that they have read, understood, and agree to comply with all terms and conditions contained herein, including the Rental Rules in Exhibit A.
The Registered Guest is responsible for ensuring that all members of their rental party and any visitors they permit onto the property are aware of and comply with these terms and conditions.
